Edit, organize, and maintain your report views to keep them current and useful.

Managing your report views is like maintaining a library - you need to keep things organized, update content when needed, and occasionally clean up what's no longer useful.

Finding your views

As a view creator/editor

Access views from the report builder:

  1. Open your report in the builder

  2. Click "View" in the top navigation

  3. You'll see all views created from this report

As a view viewer

Views appear under Reports:

  1. Go to Reports in the main navigation

  2. Views you have access to will appear in the reports list

  3. They show with the name of the original report they're based on

  4. You can identify them as views when you open them (they'll show partial content)

There's no separate "views overview" section - views are accessed either through the report builder (if you're an editor) or through the main reports list (if you're a viewer).

Edit view content selection

To modify which pages, groups, or sections appear in your view:

  1. Open your report in the builder

  2. Click "View" in the top navigation

  3. Select the view you want to edit and click the ... next to the view name, then "Edit"

  4. The left panel becomes clickable - adjust your page/group/section selections

  5. Further down you can edit the view name

  6. Save the new view afterwards

You can change:

  • Which pages are included or excluded

  • Which groups are shown or hidden

  • Which sections appear in the view

  • The overall structure visible to view users

Manage view permissions

To change who can access your view:

  1. While viewing your view, click "View"

  2. Click "..." (more options) in the menu next to the name

  3. Select "Share view"

  4. Add or remove people and groups as needed

Permission options:

  • Specific people: Add individual email addresses

  • Organization groups: Share with existing user groups

  • Organization members: Share with everyone in your organization

To remove access:

  • Find the person or group in the permissions list

  • Click remove or delete next to their name

Delete views

To remove views you no longer need:

  1. Access your view via "View" in the report builder

  2. Look for the "Delete" function in the "..." menu next to the name

  3. Confirm the deletion

  4. The view will be removed and users will lose access immediately

Before deleting:

  • Make sure no one actively relies on this view

  • Consider if the view might be useful for future reference

  • Check if there are similar views that could be consolidated instead
