Usage and limits

Keep an eye on seats and storage and react before limits block your teams.

The page Settings → Organization → Usage and limits summarizes every consumption-based limit for your organization. Administrators see at a glance how many seats (licenses) and how much storage is already in use – including early warnings when thresholds get tight.

What you see

Area
Details

Seats

Number of assigned licenses compared to your organizational limit.

Storage

Storage used versus the total storage available to your organization (in GB or MB).

Each card also shows a progress bar and status indicator:

  • Normal (green) – plenty of headroom.

  • Warning (yellow) – more than 50 % of the quota is used.

  • Critical (red) – less than 20 % capacity left, or the limit is already reached.

Storage warnings

Once storage approaches its limit, the warning status appears both on this page and in the dataset upload dialog (see Upload data):

  • Approaching limit – users see a yellow notice with the remaining capacity.

  • Limit reached – new files cannot be uploaded. Existing datasets can only be updated if the file size fits within the remaining storage.

In both cases, the interface recommends contacting your organization administrator or the Polyteia support team to extend the quota.

Best practices

  • Check regularly – especially after large uploads or when onboarding several new users.

  • Clean up – remove datasets or archives you no longer need before you hit warning levels.

  • Plan ahead – reach out to the Polyteia team early if you expect higher storage or seat requirements.

Keeping an eye on usage ensures uninterrupted uploads and avoids surprises for your teams.
